The brief

What we were asked for

Organisers were running festivals on spreadsheets, email threads and a printed site plan. The brief was a single system covering trader applications, pitch allocation, payments and communications, sold to organisers as a product.

The challenge

What made it difficult

The constraints that shaped every decision after them.

  • Every event has a different structure — stages, zones, trading pitches, arena slots — so nothing could be hard-coded.
  • Trader applications arrive in a flood, get vetted, then need allocating against a finite site plan.
  • Organisers, traders and staff all need different views of the same event.

Event-scoped everything

Each organiser holds many events, and every record — trader, pitch, schedule item, message — is scoped to one, so nothing bleeds between years or sites.

Applications through to allocation

Traders apply online, organisers vet and accept, and accepted traders are allocated against real pitch inventory.

Role-separated access

Organiser, trader and staff roles each get their own interface over the same data.

One place for communications

Announcements and direct messages sit against the event record rather than in somebody’s inbox.

The outcome

Where it got to

  • A spreadsheet-and-email process replaced by a system with an audit trail.
  • Organisers can run several events in parallel without them colliding.
  • Built on the shared platform layer, so tenancy and billing came for free.
